Booking Conditions
1. WHO ARE WE
Sycamore Farm Park / Ingoldale Park / Sunset Holiday Park / The Paddocks are the trading names of Sycamore Farm Park Ltd.
2. WHO IS OUR CUSTOMER
The person(s) named in the booking information is/are our customer(s) and references to “you” and “your” refer to such person(s). Your booking may not be transferred to anyone else.
3. THE CONTRACT
There will be a binding contract between you and us:-
(a) if you book in person or by telephone, at the time when we accept your deposit (or full payment if you are booking less than 42 days before the start of your holiday).
(b) if you book online, when we confirm your booking in writing.
“In writing” and written includes e-mail but not text messages.
The contract between you and us consists of the specific written booking details and these Booking Conditions.
4. YOUR PARTY
We provide holidays for families and couples. We, therefore, operate certain guidelines as to the make-up of parties visiting our Park –
(a) The total number in your party (including children and babies) must not exceed the maximum capacity which we specify for the caravan or pitch which you occupy.
(b) You must inform us if more than a half of your party comprises persons aged between 17 and 25. We reserve the right to refuse such a booking.
(c) You must inform us if you wish to book a single sex party and provide the age of each member of the proposed party. Bookings from large single sex parties will not normally be accepted.
5. RESERVATIONS
We will not accept any responsibility for errors arising from telephone requests not confirmed in writing. Cancellations or booking amendments must be notified to us in writing.
6. PAYMENT REMINDERS
It is your obligation to ensure that any balance of payment due to us is paid by the due date. We are not obliged to send any reminder to you. Any reminder which we give to you is sent out of courtesy. Whether or not a reminder is given to you, we are entitled to treat the contract between us as terminated and may re-let the caravan or pitch previously reserved for you, if full payment is not received by the due date.
7. HOLIDAY HOMES / APARTMENTS / CARAVANS
A deposit of 30% is required when booking caravan holiday homes. This deposit is non-refundable. The balance of rent is payable by you not less than 42 days in advance of your arrival. To avoid any disappointment please ensure your balance has reached us by the given time. Smoking is not permitted any of our accommodation.
8. CHECKING IN TO YOUR HOLIDAY HOME
New arrivals must report to Reception. Although we will try to ensure that you are given the accommodation which you have booked, there may be circumstances where this is impossible or inadvisable. For this reason we may, at our discretion, allocate different accommodation to you.
Damage and breakage to units or equipment during your period of occupation are your responsibility. They must be reported and paid for before departure. If you fail to report and pay for damage or breakage before your departure, you will be sent an invoice which must be paid within 14 days of the invoice date. At the end of your stay, please leave your caravan clean and tidy. If you leave the caravan in a messy or untidy state, you will be charged for extra cleaning.
Hired Holiday Home Keys will be available after 2.00 pm. If arriving after 5.00 pm please notify Reception to arrange key collection. The period of your stay is from 2.00 pm on the day of arrival to 10.00 am on the day of departure.
If you wish to bring a pet with you, please refer to the relevant conditions below.
9. NOTICE OF CANCELLATION
If you wish to cancel your booking, in whole or part, your request to cancel must be made in writing to us at least 28 days before the first day of your booking, otherwise the balance outstanding will be payable by you and you will forfeit all of your deposit. We regret that in the event of leaving early for any reason, no refunds will be given. Charges apply for booking cancellation prior to commencing your holiday. These are dependent on the number of days’ notification you provide before your holiday was due to commence. If the deposit is greater than the percentage amount, then the charge is increased to the deposit amount. Notification of 56 days or more – the charge is 10% of the total holiday cost, 42 to 55 days – 30% of total holiday cost, 28 to 41 days – 50% of total holiday cost, 27 days or less – 100% of total holiday cost.
In exceptional circumstances, we may have to cancel your booking. If we do so we will tell you as soon as possible. You will then be offered an alternative holiday booking with us at the brochure price.
10. PETS
Unfortunately we do not allow any pets in our accommodation other than one Registered assistance dogs for the disabled – Please inform us if your dog is a Registered Assistance dog for a disabled guest. We reserve the right, in our discretion, to require proof of registration. No charge will be made for Registered Assistance dogs. Please state at the time of booking if you intend to bring a registered assistance dog so we are able to locate you in the correct accommodation.
11. TRAFFIC
Traffic movements are restricted after 11.00 pm to minimise disturbance. The speed limit is 10 mph and is strictly enforced. We do not permit the use of any non road legal motorised vehicles e.g. mini scooters, quad bikes etc. All vehicles on park must be taxed, insured and have passed the MOT regulations. Commercial vehicles are only accepted by prior arrangement.
12. PROHIBITED ITEMS
The following are not permitted on the park:
Ball games Skateboarding
Hover boards/Segway’s or similar
Drones
Radio controlled cars, helicopters, aeroplanes, glidersFlying Chinese Lanterns. These are prohibited in all areas of our site because they are a serious fire hazard to the public and agriculture land.
13. VISITORSAs a courtesy, we permit residents to receive a limited number of visitors. We reserve the right in our discretion to withdraw this privilege in whole or part, without prior notice.
During peak holiday periods customers’ guests:

“Visitors with cars will not be accepted if there are already two cars on the customer’s pitch.
” remain the responsibility of the customer who invited them at all times when they are on the park.
14. CURFEW
For everyone’s comfort and convenience customers are requested to return to their accommodation by 1.30 am.
15. ANTI-SOCIAL BEHAVIOUR
The Park is a family park and therefore customers and their visitors are expected not to do, or allow to be done, anything which in the opinion of the management is detrimental to the enjoyment and comfort of other people staying on the Park. Anyone considered by the management to be acting in an anti-social manner will be required permanently to leave and no refund will be given.
16. HEALTH AND SAFETY
(a) If whether on arrival at the Park or during your stay anyone in your party is known to have an infectious disease or other significant illness liable to be transmitted from person to person, please would you inform us. We would then expect you to comply with such precautions for the protection of other occupants and users of the Park as we request including, if necessary, the termination of your stay at the Park.
(b) We are always striving to ensure the safety of our Park and its facilities. Please inform us of any significant accident to any member of your party on the Park. Please also inform us of any hazard which you identify on the Park.
17. DATA PROTECTION
We hold any information which you have provided to us in connection with your booking on our computer system. This information is used in accordance with Data Protection legislation. By providing this information to us, you, and everyone else in your party whose information is provided to us by you, is deemed to accept our usage of the information relating to them. Please ensure that the other members of your party agree to this.
18. CCTV
We use CCTV cameras in some parts of the Park to assist in crime prevention and to maintain safety.
19. LIMITATIONS OF LIABILITY
We accept responsibility for those arrangements of your holiday which are within our control, but we cannot accept liability for any injury, loss or damage suffered by you or any other member of your party, unless one of the following applies:
(1) there was wilful default or gross negligence by us, our employees or agents
(2) Death or personal injury occurs as a result of our negligent act or default or the negligent act or default of our employee or agent
For all claims other than death or personal injury, which result from the non-performance or improper performance of our contract, we will pay compensation that is reasonable in all such circumstances. However, our liability to you in such circumstances is limited to the total cost of the holiday paid as per your final holiday invoice from us. Please notify any shortcomings or complaints to the Reception/Duty Manager immediately, so that they can be remedied. Claims may be reduced or rejected if we have not been given the opportunity to put matters right or investigate your concerns.
If you cut your holiday short we are not obliged to offer a refund.
20. WEATHER DAMAGE AND OTHER CIRCUMSTANCES BEYOND OUR CONTROL
Customers are responsible for monitoring the weather conditions and ensuring their equipment is suitable. We are not responsible for any damage or injury to person or property arising as a result of weather damage or other circumstances beyond our control, including flooding or wind damage.
WE RESERVE THE RIGHT TO REFUSE ADMISSION TO OR REMOVE ANY PERSON OR PERSONS CAUSING UNNECESSARY NUISANCE OR NOISE WITHOUT REFUND OR PRIOR NOTICE.
ENJOY OUR NATURAL ENVIRONMENT SAFELY
Please take care when in the countryside and always supervise your children.
Uneven surfaces and potholes – these are a feature of the countryside; be careful not to trip or slip on rough ground especially where animals have been burrowing.
21. BBQ’s/ FIRE PITS.
We allow free standing BBQ’s. If you bring a disposable BBQ we can provide slabs so that the heat does not damage the grass. Please DO NOT put hot coals or disposable BBQ’s in the wheelie bins as they will catch fire. we DO NOT allow fire pits, burners or open fires OF ANY kind.
